Ground Rent Collection

We recognise the importance of playing our role in maximising the value of your asset and ensuring on your behalf that your obligations under the leases and other deeds are met.

 

We can help by:

 

  • Managing Ground Rent collections - issuing the invoices and required notices, credit controlling the Ground Rents and accounting to you in accordance with our management agreement;
  • Holding your Ground Rents in a dedicated Designated Client Bank Account, separate from service charge funds;
  • Accepting and receipting notices of dealings on your behalf;
  • Advise you, drafting and deal with any licences and permissions required under leases, for instance a Licence to Assign, Licence to Alter or permission to keep a pet;
  • Dealing with other Leaseholder enquiries on your behalf;
  • Assist in arranging Buildings and Terrorism Insurance via independent insurance brokers (on an introducer basis).

Property Management

If you are also responsible under individual flat leases or house deeds for the management of the building and/or communal areas we are here to take away the stress and hassle this entails.

 

We can help by:

 

  • Preparing Service Charge Budgets annually for your approval;
  • Managing Service Charge collections - issuing the invoices and the credit control
  • Holding Service Charge funds in a dedicated Designated Client Bank Account;
  • Dealing with individual owners and tenants correspondence, emails and telephone enquiries. Through our website residents have the ability to view important documents and notices relating to their building and report any emergency or regular maintenance issue 24 hours a day, 365 days a year;
  • Ensuring compliance with your Health and Safety obligations;
  • Carrying out regular inspections of the communal areas and grounds;
  • Preparing, with an independent surveyor when appropriate, a Planned Maintenance Programme (or a Capital Expenditure or Capex Plan) for future major works, such as redecorations, the replacement of plant and equipment or other large expenditure;
  • Ensuring your consultation obligations under Landlord and Tenant legislation is fully complied with;
  • Preparing, with an independent surveyor when appropriate, a specification for such major work, carrying out the tender process, and issuing the contract for works;
  • Arranging regular maintenance contracts, for instance, for the cleaning, window cleaning, gardening and the servicing of equipment such as lifts and fire equipment;
  • Arranging the day to day repair and maintenance of the buildings, equipment and any landscaped areas;
  • Assist in arranging such insurance as may be necessary, such as buildings, terrorism and engineering insurance, via independent insurance brokers (on an introducer basis);
  • Recruiting, appointing, supervising and managing such site staff as may be required, for example concierge or caretaker, including managing payroll and any other HR issue;
  • Dealing with enquiries from solicitors as part of the sale process of an individual flat or house;
  • Accepting and receipting notices of dealings on your behalf;
  • Advise you, drafting and deal with any licences and permissions required under leases, for instance a Licence to Assign, Licence to Alter or permission to keep a pet;
  • Arranging and if required chairing resident meetings including issuing notices and preparing minutes;
  • Reporting to you on management and accounting issues as agreed within our management agreement;
  • Ensuring any other obligation imposed upon you under the leases or deeds are properly managed.
